Bookkeeping

Books that make tax time boring.

Monthly bookkeeping and catch-up work for small businesses, handled by the same firm that prepares your return. Nothing gets lost in the handoff, because there isn't one.

Online anywhere in the US. Based in Southwest Florida.

Most small businesses do not have a bookkeeping problem in January. They have one in April, when the return is due and the year has to be reconstructed from bank statements.

Monthly books fix that. Every month gets reconciled while you still remember what the transactions were, so the return is assembled from records instead of guesswork.

What you get each month

  • Every account reconciled: bank, credit card, and payment processors.
  • Transactions categorised consistently, so year-over-year comparisons mean something.
  • A profit and loss and a balance sheet you can actually read.
  • A note from us when something looks off, rather than a surprise in March.

Catch-up work

If you are months or years behind, that is a separate project and we price it separately. We rebuild the missing periods, reconcile them, and hand you a clean starting point. Then the monthly cycle begins. It is dull work and it is worth doing once, properly.

Who this is for.

If you are in one of these, monthly books usually pay for themselves.

LLCs and S-corps

Owner draws, distributions and reasonable salary all depend on books that are current.

Contractors and trades

Job costs, materials and subcontractor payments, tracked as you go rather than in April.

Landlords with several units

Income and expenses kept per property, which is how Schedule E wants them anyway.

Anyone seeking a loan

Lenders ask for current statements. Reconstructing a year in a week is not fun.

Businesses behind on filing

Books first, then the returns. In that order, or the returns are wrong.

Owners doing it themselves

If bookkeeping is eating your evenings, that time is worth more in the business.

Why books and tax under one roof

When the bookkeeper and the preparer are different firms, the gap between them is where money gets lost: miscategorised expenses nobody questions, depreciation that does not carry forward, an owner's draw treated as an expense. We do both, so the return is built on books we maintained.

Bookkeeping questions.

Does a bookkeeper need a license in Florida?

No. Florida does not license bookkeepers, and there is no state exam or registration to do the work. That is exactly why it pays to look at who you are hiring: ask what software they use, how often you will see reports, and who prepares the tax return at the end of it. The title CPA is restricted in Florida, but bookkeeping itself is not.

What is the average bookkeeping cost in Florida?

It moves with volume, not with the size of your company. What drives the number is how many transactions run through your accounts each month, how many bank and card accounts there are, whether you have payroll, and how far behind the books are when we start. We give you the monthly figure on the free call, before anything begins.

My books are a year behind. Is that a problem?

It is the most common reason people call us. Catch-up work is its own project: we rebuild the months that are missing, reconcile them, and then start the monthly cycle from a clean point. You cannot file an accurate return on top of broken books, so this comes first.

Do you work in QuickBooks?

Yes, and we can work in what you already use rather than moving you. If you are starting from spreadsheets or nothing at all, we will set it up properly so it stays clean.

Do I need bookkeeping if I am a one-person LLC?

Not always. If you have a handful of transactions a month, a clean spreadsheet and a separate business account may be enough until the volume grows. We will tell you honestly on the call if you do not need this yet.

Do you do payroll?

We handle the bookkeeping side of payroll and work alongside whatever payroll service you use. On the call we will look at what you have and say whether it is worth changing.
